Store Manager

Position Overview

The Store Manager is responsible for ensuring excellence in patient care and supervising the Patient Consultants and Reception. The Store Manager oversees patient reception, new patient orientation and education, patient consultations, sales transactions. Will provide daily, weekly and monthly reports to the Regional Operations Manager. The Store Manager will address patient concerns when necessary and coordinate with the Inventory Manager to track and fulfill product and cash drawer needs. Assist in the dispensary’s compliance with local and state regulations.

Essential Job Functions

  • Oversee and provide warm reception for all staff, visitors and incoming patients, including greeting, registering, conducting new patient orientations, and informing individuals of the dispensary’s rules and regulations
  • Coordinate with the Security team to regulate the movement of patient traffic throughout the dispensary
  • Ensure adherence to patient confidentiality guidelines as provided in employee training
  • Ensure dispensary services are accessed only by those with valid agent ID cards.
  • Ensure patient records are complete, accurate and up-to- date and that patient data is transmitted to the Division according to regulations
  • Supervise patient consultants in their assessments of individual patient needs, ensuring excellent care for all patients; coach patient consultants and other staff members on how to assess individual patient needs by asking patients questions regarding their medical conditions and symptoms, carefully listening to patient responses, and further clarifying as needed to determine what type of alternative care might support their conditions
  • Ensure ongoing evaluation and training of the Patient Services staff related to common medical conditions and symptoms, and various treatment methods, both traditional and alternative
  • Maintain the overall appearance, organization and cleanliness of the dispensary, service counter areas, and public areas
  • Address and resolve patient issues, communicating with sensitivity and respect
  • Ensure departmental and dispensary compliance to internal, local and state policies
  • Authorize discounts and other specialized transactions in sales receipts
  • Facilitate the exchange of cash register drawers and monitor daily patient and sales reports
  • Prevent the diversion of medical cannabis to anyone other than authorized patients
  • Communicate regularly with Inventory Manager about product trends, characteristics and patient feedback
  • Communicate regularly with the Regional Operations Manager to satisfy department staff needs and patient feedback
  • Maintain adequate supply of patient intake forms and other department needs
  • Ensure adherence to hygiene and sanitation guidelines
  • Interview applicants for the dispensary and work with Regional Operations Manager to make sound hiring decisions
  • Conduct and oversee department training and development of Member Services and Patient Care department staff
  • Prepare department work schedules in a timely manner
  • Lead daily pre-opening meetings
  • Direct opening and closing procedures

Requirements

  • Five to seven years prior management experience in a customer service position
  • Exemplary communication and customer service skills
  • Prior experience working with natural or alternative/complementary medicines and therapies
  • Knowledge of medical cannabis strains and applications
  • Ability to quickly develop extensive knowledge of relevant state laws and patients’ rights
  • Bachelor’s degree or equivalent life experience
  • Basic computer operating and troubleshooting skills; working knowledge of MS Office
  • Strong knowledge of standard POS system interfaces and functions
  • Ability to multitask in a fast-paced environment
  • Passion to serve people with debilitating conditions

Member Services Associate

Position Overview

The Member Services Associate provides patient reception, assists in new patient orientations and education, answers questions, addresses special needs, and generally ensures a positive patient experience. The Member Services Associate is the patient’s primary source for information regarding policies and procedures, both internally and in regards to local and state cannabis legislation.

Essential Job Functions

  • Smile and greet each incoming patient, providing a welcome atmosphere
  • Verify authorized dispensary access and validity of all agent ID cards via the State Electronic Verification System
  • Maintain and update patient records, synching with the State Electronic Verification System
  • Conduct orientation tours for new patients
  • Maintain the overall appearance, organization and cleanliness of the department and public areas
  • Manage and maintain excellent patient care and service at all times
  • Answer questions, provide general information and guidance for patients about dispensary policies and procedures and laws and regulations, communicating with sensitivity and respect
  • Ensure all patients understand and observe the dispensary’s policies and procedures
  • Execute the dispensary’s healing services program as directed by the Patient Services Manager and Healing Services Manager, maintaining the healing services database and schedule
  • Encourage patient education and activism as directed by the Patient Services Manager or Member Services Assistant Manager
  • Communicate regularly with the Patient Services Manager to satisfy department needs and patient feedback
  • Perform general reception duties, including answering phones and relaying messages
  • Perform other duties as assigned by the Patient Services Manager or Member Services Assistant Manager

Requirements

  • One year or more experience in customer service
  • Ability to quickly familiarize with relevant state laws and patients’ rights
  • High school diploma or GED
  • Basic computer operating skills; working knowledge of MS Office

Patient Consultant

Position Overview

The Patient Consultant works within the Patient Care department team to ensure excellent patient service, provide effective patient consultations, and ensure the distribution of only quality products to patients. The Patient Consultant assesses the individual needs of patients, provides superior product knowledge, and conducts sales transactions efficiently and accurately.

Essential Job Functions

  • Provide excellent service for all patients
  • Assess individual patient needs by asking patients questions regarding their medical conditions and symptoms, carefully listening to patient responses, and further clarifying as needed to determine what type of alternative care might support their conditions
  • Participate in continuous training on medical conditions, symptoms, and alternative healing therapies
  • Always communicate with sensitivity and respect for patients, staff and visitors

Inventory Manager

Department: Inventory

Position Overview

The Inventory Manager oversees all control tasks and supervises the Inventory staff to ensure the completion of any daily tasks necessary for the smooth operation of the dispensary. Responsibilities include ordering and receiving all medical and non-medical products; ensuring quality control and food safety; ensuring segregation and disposal of outdated, damaged, deteriorated, misbranded or adulterated cannabis; ensuring proper tracking and disposal of unusable medicine based on state and local requirements; processing and packaging of product as needed; ensuring that the oldest stock of cannabis products are distributed first; executing precise daily, weekly and monthly inventory reports; conducting audits in accordance with state guidelines; ensuring the stocking of adequate cash in the service counter registers; and the daily tracking and supply of product inventory both at the service counter and in inventory storage.

Essential Job Functions

  • Interview Inventory Dept. applicants and work with Regional Operations Manager to make sound hiring decisions
  • Conduct and oversee training and development of Inventory Department staff
  • Ensure accurate reporting to the Store Manager relating to inventory, cash counting, tracking and control
  • Develop a safe, organized and compliant system for the storage, purchase, receipt and processing of inventory; order, purchase and receive all products for the dispensary using the POS and Inventory Management System
  • Assess quality of product ongoing and resolve quality concerns
  • Oversee product processing projects as needed, ensuring appropriate quantities, accurate weights, quality control, sanitation standards, and proper packaging and labeling
  • Determine and adhere to a strict policy and set of procedures for the disposal of unusable medicine in accordance with state and local laws and guidance from local law enforcement
  • Supervise inventory staff in the proper execution of daily tasks
  • Manage the stocking of inventory and cash at the service counter
  • Manage the vault cash safe and change fund
  • Verify till counts and prepare bank deposits

Inventory Associate

Position Overview

The Inventory Associate aids in the dispensary’s secure internal receipt, transport, storage, organization, tracking and supply of cash and medical and non-medical product inventory. Duties include performing daily, weekly and monthly inventories; stocking and tracking cash and product at the service counter and in storage areas; and assisting in filing inventory reports and related documentation.

Essential Job Functions

  • Coordinate with Inventory management to ensure the adequate stocking of cash and product throughout the day
  • Track and record all cash and inventory movement
  • Maintain accurate reports relating to inventory, cash counting, tracking and control
  • Perform daily, weekly and monthly inventories as instructed by Inventory management
  • Follow hygiene and sanitation guidelines
  • Maintain the organization and overall cleanliness of the department
  • Perform other duties, as requested by Inventory management
  • Bring up any product quality concerns with a member of Inventory management
  • Complete product processing projects as assigned, ensuring appropriate quantities, accurate weights, quality control, sanitation standards, and proper packaging and labeling
  • Maintain appropriate levels of supplies, organization and overall cleanliness of the department and product storage areas
  • Ensure accurate product labeling that meets all local and state requirements
  • Perform other duties, as requested by the Inventory Manager

Requirements

  • High school diploma or GED
  • One year or more experience in retail sales or inventory control
  • Knowledge of medical cannabis strains and delivery forms
  • Basic computer operating skills; intermediate MS Excel knowledge
  • Intermediate math skills
  • Passion to serve people with debilitating conditions
  • Excellent communication skills
  • Attention to detail, ability to follow complex instructions with precision
  • Ability to lift and carry at least 50 lbs.; reach arms above head; and stand for up to eight hours a day
  • Current dispensing organization agent identification card issued by the Illinois Department of Financial and Professional Regulation Division of Professional Regulation
